Last updated: October 24, 2026

1. About This Policy

PayBook ("we", "our", or "us") operates the PayBook platform, a scheduling and invoicing service for Canadian solo service workers. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data. By using PayBook, you agree to the practices described here.

2. Information We Collect

We collect the following categories of personal information:

  • Account information: Your name, email address, and password when you register for a PayBook account.
  • Business information: Your business name, service types, availability, and other details you provide during onboarding or while using the app.
  • Client information: Names, email addresses, and contact details of the clients you add to your PayBook account.
  • Booking and invoice data: Scheduling details, service descriptions, amounts, and payment status for bookings and invoices you create.
  • Payment information: Payment processing is handled by Stripe. PayBook does not store your full card number or banking details. We receive limited payment metadata (e.g., last four digits, card brand, payment status) from Stripe.
  • Usage data: Basic technical information such as your IP address, browser type, and pages visited, collected automatically when you use our service.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the PayBook platform.
  • Process bookings, send appointment confirmations, and deliver payment reminders to your clients.
  • Generate and deliver invoices on your behalf.
  • Send you transactional emails related to your account (e.g., password resets, billing receipts).
  • Respond to support requests and communications.
  • Monitor for fraud, abuse, or security issues.

We do not sell your personal information or your clients' information to third parties. We do not use your data for advertising purposes.

4. Third-Party Services

We work with the following third-party service providers who may process your data:

  • Stripe: We use Stripe to process subscription payments and, where enabled, client invoice payments. Stripe handles all payment card data in accordance with PCI-DSS standards. You can review Stripe's privacy policy at stripe.com/privacy.
  • Meta (Facebook / Instagram): If you connect a social account or use PayBook's marketing features, we may interact with Meta's APIs to post content on your behalf. We only access the permissions you explicitly grant. Meta's data policy is available at facebook.com/privacy/policy.
  • Email delivery: We use a transactional email provider to deliver notifications and reminders. These providers process email addresses solely to deliver messages on our behalf.

5. Data Retention

We retain your account data for as long as your account is active. If you delete your account, we will remove your personal information within 30 days, except where we are required to retain it for legal, tax, or fraud-prevention purposes (typically up to 7 years for financial records, as required under Canadian law).

Client data you have entered is deleted along with your account. You may also manually delete individual clients and their associated records at any time from within the app.

6. Data Storage & Security

PayBook stores data on servers located in Canada. We use industry-standard security measures including encrypted connections (HTTPS), hashed passwords, and restricted access controls. While we take reasonable precautions, no system is completely secure and we cannot guarantee absolute security.

7. Your Rights

As a Canadian resident, you have rights under PIPEDA and applicable provincial privacy laws, including the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your account and associated data.
  • Withdraw consent for optional data uses.
